What does a Veterinary Client Service Representative do?

As the face of the veterinary hospital, the customer service representatives are the first person the pet owner encounters on the phone or in person. The primary role of a veterinary client service representative (VCSR) is to provide excellent support to pet owners. They also provide assistance to the entire veterinary hospital or pet care team. VCSRs handle all aspects of the veterinary hospital's front desk, managing the flow of client visits and assisting to educate clients on general health topics and medications. They also prepare estimates and invoices, schedule appointments, handle financial transactions, manage medical records and are an essential part of any veterinary hospital team.

Veterinary Client Service Representative

If you love animals and are inspired to play a part in helping keep them healthy, a career as a Veterinary Client Service Representative is a great starting point.

This program prepares graduates for employment at private and chain animal hospitals or clinics, humane societies, boarding kennels, pet grooming centers and retail pet supply stores. Students learn about the veterinary healthcare team, medical records, medical terminology, medical office procedures, administration, basic pharmacology, proper animal handling, Microsoft Office basics and the principles behind providing top-notch customer service.

While VCSRs primarily work with human customers, they may also be called upon to provide basic animal care. To best prepare students for these responsibilities, our students learn the basics of animal nutrition, bathing, wellness, breed identification and animal restraint.

Graduates of this program will be prepared to take the Certified Medical Administrative Assistant (CMAA) exam sponsored by the National Healthcareer Association (NHA). The CMAA certification, while primarily purposed for traditional human medical office administration, still aligns to an animal care environment and will give graduates a leg-up on their competition.

*Applicants must be 18 years of age or older and have a High School diploma or GED. Many employers will require that you have suitable vision and hearing (normal or corrected), suitable psychomotor skills, hand-eye coordination, finger agility, and be able to stand for an extended period.

Professionalism is not just what one knows, it is how one does their job, how one behaves and how one comes across as they interact with others.

The purpose of this course is to provide students with soft skills training that will provide the tools needed to demonstrate a higher level of professionalism on the job. Key components of the course focus on patient interaction, proper office behavior, medical ethics, diversity and cultural bias, emotional strength, professional appearance and communication. The course maintains a focus on the key attributes that are true markers of professionalism.

This set of courses includes basic (Level 1) training on the 3 core applications within the Microsoft Office Suite. Students learn the range of skills needed to create professional-quality documents and spreadsheets, and are trained to effectively use email communication tools in the office environment. The content covered includes how to create, edit and enhance documents in Microsoft Word, how to organize, calculate and analyze information in Microsoft Excel, and students will learn the basics of using email within Microsoft Outlook.

Veterinary Office Fundamentals

The Veterinary Office Fundamentals course prepares students for an exciting career in animal care or an administrative role in veterinary medical healthcare. Students gain a fundamental understanding of how a veterinary office functions, and include core topics such as Veterinary Hospital Basics, Veterinary Front Desk, Basic Animal Care and Handling and Basic Pharmacology. Additional topics include Medical Terminology, Safety and OSHA Standards, and animal/breed identification. 

In this course, students are exposed to a variety of eLearning elements that allow for hands-on interaction with the screen for an engaging education. An immersive environment and interactivities will provide the student opportunities to practice key skills performed as a central service technician. In addition to video-based instruction and 3D environments, a variety of other learning methods are utilized for engagement, entertainment and inspiration throughout training.
